Yes. AI can draft a course enquiry reply from a training institute’s approved catalogue and a message supplied by staff. The draft should state known course facts, flag missing fees or availability, and ask one necessary clarification. An admissions coordinator checks it before sending; AI does not decide eligibility, reserve a seat or confirm enrolment.

Build a source pack the coordinator can trust

Start with an approved catalogue version: course identifier, outline, format, prerequisites, duration, delivery language and authorised qualification wording. Keep intake dates and fees in separately maintained records if they change more often. Name the person who updates each source. An old brochure should not silently override a new timetable.

For a first pilot, staff manually supplies a synthetic enquiry and relevant catalogue entries. Reading a live inbox, WhatsApp conversation, calendar or CRM is a different capability. It requires supported access, approved data handling and a configured, tested integration. A draft shown on screen is not evidence that those connections exist.

The coordinator verifies the date, prerequisite and current fee, then edits the reply. If the learner specifically needs next week and the institute cannot offer that intake, say so plainly. Do not steer them into a different course without explaining the difference.

Keep the draft and the decision separate

AI outputs may omit facts, combine incompatible courses or invent details. Keep an internal review line with the source versions, unresolved facts and proposed clarification. The reviewer checks it against the actual record rather than relying on the model’s statement that it followed instructions.

Only the authorised team confirms eligibility, enrolment, discounts, qualification recognition and seats. Do not promise employment, visa outcomes or accreditation from a generated answer. Check current KHDA services and guidance for the institute’s specific permit or advertising context.

Test the awkward enquiries first

Include a discontinued course, a stale date, two courses with similar names, a missing fee and an enquiry in a different language. Accept the workflow only when staff can identify unsupported statements and resolve the gaps. Record the approved source version, named reviewer, final changes and review time.

Begin with synthetic or anonymised messages. Real learner information requires your approved product, configuration, access, retention and applicable duties. Use data governance and acceptance testing before widening the pilot.
