How can off-plan sales teams answer buyer questions from one current project answer sheet with AI?
Build one answer sheet per project from the developer’s current documents: price list, payment plan, unit mix and expected handover, each with its source date. The sales manager approves it as a numbered version. A ChatGPT Skill then drafts buyer replies only from that sheet and flags anything that is not on it, such as a service charge, availability or a rental guarantee. The agent checks the draft and sends it. When the developer issues new documents, the sheet is updated, approved again and the old version withdrawn, so every agent answers from the same facts.
Why off-plan answers drift
Off-plan enquiries repeat the same questions: the payment plan, the handover date, the unit mix, the service charge and what is still available. The answers change during a launch. Developers reissue price lists, release new floors and update handover estimates, while older brochures and forwarded PDFs keep circulating in agents’ WhatsApp chats. A buyer who hears two different payment plans from the same brokerage loses trust quickly. One answer sheet per project, with a version and a date, gives every agent the same source, and ChatGPT drafts replies only from that sheet.
What goes on the answer sheet
Swipe to read every column, or focus the table and use the arrow keys.
| Field | Taken from | Who updates it | If it is missing |
|---|---|---|---|
| Payment plan | The developer’s current payment plan document, with its date | Project lead | Draft says the plan is being confirmed and flags it for the agent |
| Starting prices by unit type | The developer’s latest price list | Project lead | No price is given; the agent confirms the current figure |
| Expected handover | The developer’s latest dated update | Project lead | Draft gives no date and offers to confirm |
| Unit mix and sizes | Floor plans and brochure | Project lead | Draft asks which unit type the buyer wants |
| Service charge | Only if the developer has published an estimate | Project lead | Flagged as “not on the sheet”, never estimated |
| Availability | Not on the sheet: live inventory changes daily | Agent checks the developer’s inventory | Draft never confirms a unit is available |
| Sheet version and date | Set when the sales manager approves the sheet | Sales manager | Drafts are not prepared from an unapproved sheet |

Hi, what is the payment plan for a 2 bed in Tower B, when is handover, and is there a rental guarantee? Also what is the service charge?Draft from AI for agent review
Hello, thank you for your interest in Tower B. Two-bedroom apartments start from AED 1.92M. The payment plan is 10% on booking, 50% during construction and 40% on handover. The developer’s current estimate for handover is Q4 2027. The developer documents I have do not include a rental guarantee or a service charge figure, so I will check both with the developer and come back to you. Shall I send the 2-bedroom floor plans and confirm which units are still available? For the agent: source sheet v4 (approved 14 Oct 2026). Not on sheet: service charge, rental guarantee, availability. Check current inventory before naming any unit.

Keeping one current version
- One sheet per project, one owner. The project lead prepares the sheet from the developer’s documents and the sales manager approves it. Each sheet carries a version number, an approval date and the date of each developer source.
- A change process people control. When the developer issues a new price list or payment plan, the project lead updates the sheet, the sales manager approves the new version and the Skill is refreshed. The old version is withdrawn, and agents are told which earlier replies may need correcting.
- Drafts cite the version. Every draft ends with an internal note naming the sheet version it used and the facts it could not find, so the agent can see at a glance what to check.
- Any language. The same sheet can produce replies in Russian, Arabic, Chinese or Hindi. See replying to buyers in their language.
Guardrails
- The agent reviews and sends every reply. AI drafts can leave out a condition, mix up two payment plans or add a detail that is not on the sheet, so the agent checks each figure against the approved version before sending. Instructions to “use only the sheet” reduce this risk but do not guarantee it.
- The sheet is not live inventory. Availability, unit reservations and price changes are confirmed with the developer or your inventory system, not by the draft.
- No investment, legal or mortgage advice, and no promised returns or rental yields. Questions about registration, escrow, contracts or finance go to the right qualified person using your standard wording. Advertising and permit requirements stay with your compliance process.
- Manual input is the default. The project lead uploads the developer documents and the agent pastes the buyer message. Reading WhatsApp, portal leads or developer inventory directly needs a separately agreed, configured and tested integration.
An off-plan answer sheet can start as a single Skill for AED 97, built on one project’s documents. Brokerages that want answer sheets for several launches, listings and follow-ups working together usually choose a fixed-price package from AED 3,500. See the pricing page and what AI costs for a brokerage.
Common questions
Can AI answer off-plan buyer questions?
Yes, as drafts. From an approved project answer sheet it drafts replies about payment plans, starting prices and expected handover, and flags anything not on the sheet. The agent checks and sends every reply.
What happens when the developer changes the payment plan?
The project lead updates the answer sheet from the new developer document, the sales manager approves the new version and the old one is withdrawn. Drafts then cite the new version.
Can it tell buyers which units are available?
No. Availability changes daily, so the agent confirms it with the developer or your inventory system before naming any unit.
Will it give investment or return advice?
No. It does not promise returns, rental yields or capital growth. Investment, legal and finance questions go to qualified people using your standard wording.
