AI for logistics & cargo

How can cargo companies chase payments and send customer statements with AI?

Export your overdue list from the accounts system or Excel sheet each week and paste it into a ChatGPT Skill set up with your reminder wording and payment terms. It drafts a polite reminder for each overdue customer in their language, a statement of open invoices, and a one-page summary for the owner of who owes what and for how long. Staff check every amount against the accounts before anything is sent. AI does not decide credit, threaten legal action or hold cargo; disputed invoices go to the owner.

Why payment follow-up slips

In a busy cargo or freight office, chasing money is the job that keeps getting postponed. Shipments, bookings and customer questions come first. Reminders go out late, in whatever words the person on shift chooses, and repeat customers on credit build up balances nobody has looked at for weeks. The figures already sit in your accounts system or sheet. What takes the time is turning an overdue list into a clear, consistent message for each customer, often in Hindi, Urdu, Malayalam, Tagalog or Arabic, and keeping the owner informed.

Owner summary, week of 26 October
- 4 open invoices, 8,390 dirham in total.
- Over 30 days: C-19, 860 dirham (38 days).
- Check first: C-12 says INV-2251 is paid, with no receipt in the list. No reminder drafted until accounts confirm.

For staff to check: every amount and invoice number against the accounts system before sending.

How it fits your office

  • Your accounts stay the record. The draft only repeats what the pasted list says. If an invoice is missing or a customer says they have paid, it flags the account for checking instead of sending a reminder.
  • Wording approved once. The owner approves the wording for each stage. When terms or wording change, the new version is approved, the Skill is refreshed and the old version is withdrawn.
  • The customer’s language. Reminders can be drafted in Hindi, Urdu, Malayalam, Tagalog, Arabic and other languages, with an English line for staff to compare. See multilingual AI for cargo companies.
  • Manual input is the default. Staff paste the overdue list and send replies on WhatsApp or email as usual. Reading from your accounting system automatically, or sending reminders without a person, needs a separately agreed, configured and tested integration.

Guardrails

  • Every reminder, statement and summary is a draft. AI can copy an amount or invoice number wrongly, attach an invoice to the wrong customer, leave out an open item or add a detail that is not in the list. Instructions in the Skill reduce this risk but do not guarantee a correct or complete draft, so staff check each figure against the accounts before sending.
  • The draft does not threaten legal action, add penalties, mention holding cargo or offer discounts unless the owner has approved that exact wording for that stage.
  • Disputed invoices, complaints and payment-plan requests go to the owner or accounts lead. AI does not decide credit limits or who is still allowed to ship on credit.
  • Share only what the reminder needs. Bank details, ID numbers and full customer records stay out of the pasted list, and the work uses the ChatGPT product, access and retention settings your company has approved.

A payment reminder writer can start as a single Skill for AED 97, built on your own wording and terms. Payment reminders are part of GROW at AED 7,500, together with booking intake and the restricted-items check. See the pricing page and what AI costs for a logistics company.

Common questions

Can AI write payment reminder messages for cargo customers?

Yes, as drafts. From your overdue list and approved wording it drafts a reminder for each customer in their language, with the invoice numbers and amounts, for staff to check before sending.

Can it prepare customer statements?

Yes. It drafts a statement of open invoices per customer from the list staff paste. Staff check each amount against the accounts system before it is sent.

What happens when a customer says they have already paid?

The draft does not send another reminder. It lists the account for staff to check against the bank and accounts records first.

Does it connect to our accounting software?

Not by default. Staff paste the overdue list. Reading from accounting software or sending reminders automatically needs a separately agreed, configured and tested integration.
