How can cargo companies answer “where is my cargo?” messages with AI?
Set up a Skill with your status codes, reply templates and delay wording. When a customer asks where their box is, staff paste the message and the matching line from your shipment register. ChatGPT drafts a short, polite status reply in the customer’s language, using only what the register says: where the shipment is, the next step and what the customer needs to do, if anything. Staff check the receipt number and status, then send it on WhatsApp as usual. AI does not track shipments itself, guess arrival dates or promise compensation.
Why status questions take so long
On a busy cargo counter, “where is my cargo?” is often the most common message of the day. Each one means finding the receipt, opening the shipment register, reading the last update and then writing a reply the customer will understand, sometimes in Urdu, Malayalam or Tagalog. The information already exists. What takes the time is turning a register line such as “AT DEST PORT, CLR PENDING” into a clear, friendly answer, many times a day, from whoever is on shift.

| Status in your register | What the draft tells the customer | When staff take over |
|---|---|---|
| Received at warehouse | Cargo received, the receipt number and the loading step that comes next | Weight or item count differs from the booking |
| Loaded or departed | Shipment is on its way, with the departure date recorded in the register | Customer asks for a guaranteed arrival date |
| At destination, clearance pending | Shipment has arrived and is waiting for clearance, and any document the customer must provide | Customs has raised a query or a duty question |
| Out for delivery | Delivery is in progress and the contact number the receiver should keep available | Address or receiver details are unclear |
| Delayed | Your approved delay wording, the reason recorded in the register and when you will update them again | Every delay reply is read by a supervisor before sending |
A worked example
What staff paste (sample message and register line)
Customer (WhatsApp, Roman Urdu): Bhai mera saman kahan hai? Receipt 4471. Ghar wale pooch rahe hain. Register line (sample): 4471 | 3 boxes | Sea | Dubai → Karachi | Departed 02 Oct | Status: AT DEST PORT, CLR PENDING | Note: receiver CNIC copy neededDraft from AI for staff review
Assalam o alaikum bhai, shukriya message ke liye. Receipt 4471 (3 boxes, sea cargo): aap ka saman Karachi port pahunch gaya hai aur abhi clearance mein hai. Clearance ke liye receiver ki CNIC copy chahiye. Meherbani karke yahan WhatsApp par bhej dein. Clearance hone ke baad hum aap ko update karenge. For staff to check: receipt number and status match the register; CNIC request is still open.

How it fits your counter
- Your register is the source. The draft only repeats what your shipment register says. If the receipt number is not in what staff pasted, the draft says so and asks staff to check, rather than guessing a status.
- Delay messages in your words. Delay, damage and missing-item replies use wording the owner has approved once. The draft does not blame a carrier, port or customs, and it does not offer refunds or compensation.
- The customer’s language. Replies can be drafted in Urdu, Hindi, Malayalam, Tagalog, Arabic and other languages, with an English line for staff to compare. See multilingual AI for cargo companies.
- Manual input is the default. Staff paste the message and the register line. Reading your register, Excel sheet or carrier tracking automatically, or sending replies on WhatsApp without a person, needs a separately agreed, configured and tested integration.
Guardrails
- Every reply is a draft. AI can misread a receipt number, pick the wrong line, leave out a step or add a detail that is not in the register, so staff check the receipt number and status before sending.
- The draft never promises an arrival date, clearance time or outcome that is not recorded in your register. Instructions in the Skill reduce this risk but do not guarantee it.
- Customs queries, duty questions, damage and complaints go to a supervisor. The draft can acknowledge the message, but a person decides what the customer is told.
- Share only the details the reply needs. Customer names, passport or ID numbers and addresses should stay in your own systems unless your approved ChatGPT workspace, access and retention settings allow them.

Common questions
Can AI answer cargo tracking questions for a Dubai cargo company?
Yes, as drafts. Staff paste the customer's message and the matching line from your shipment register, and ChatGPT drafts a status reply in the customer's language. Staff check it and send it on WhatsApp.
Does AI track the shipment itself?
No. The draft only uses the status your team has recorded in the shipment register. Reading carrier tracking or your register automatically needs a separately configured and tested integration.
How does it handle delayed shipments?
It uses the delay wording the owner has approved and the reason recorded in the register. It does not blame anyone, guess a new arrival date or offer compensation, and a supervisor reads delay replies before they are sent.
Can it reply in Urdu, Malayalam or Tagalog?
Yes. Replies can be drafted in the customer's language with an English line beside them, so staff can check the status before sending.
