How can a cargo company turn photos into packing lists and commercial invoices with AI?
Staff photograph the customer’s handwritten list, booking slip or supplier invoice and paste it into a document Skill set up with your own templates. ChatGPT reads the photo, drafts the packing list and commercial invoice in your format, and lists every gap or mismatch it finds, such as a missing consignee phone, weights that do not add up or a value in the wrong currency. HS codes appear only as suggestions marked “to verify”. Your staff check the draft against the source before anything is issued or declared.
Where retyping goes wrong
Most document errors at a cargo counter are copying errors. A carton count is typed twice, a supplier price in US dollars lands in a dirham column, or the consignee phone is left blank because it was on the back of the slip. These are the mistakes that cause questions at customs and calls from the destination agent. A document Skill does the retyping and then checks its own draft against the photo, so staff spend their time on the gaps instead of the typing.
What the Skill drafts and what staff check
Swipe to read every column, or focus the table and use the arrow keys.
| Field | Drafted from | Staff check |
|---|---|---|
| Consignor and consignee | Booking slip, customer chat or supplier invoice | Names, address and phone match the customer’s ID or booking |
| Item description and quantity | Handwritten list or invoice lines | Descriptions are specific enough for your agent and carrier |
| Weights and carton count | List, slip or your weighing record | Totals match what was actually weighed at the counter |
| Unit price, value and currency | Supplier invoice or customer declaration | Currency is stated and line totals add up |
| Country of origin | Supplier invoice or customer answer | Confirmed, not assumed from where the goods were bought |
| HS code | Suggestion only, marked “to verify” | Your clearing staff or customs broker decides the final code |

How it fits your counter
- Your templates, versioned. The Skill uses your current packing list and commercial invoice templates. When a template or an agent’s requirement changes, the person who owns the template updates it and the Skill is refreshed from that version.
- Your rules, not general knowledge. Destination rules and restricted items come from your own rule list, which is a separate check. See the restricted-items example on the main guide.
- Same tools as today. Staff paste the photos into ChatGPT and copy the approved draft into Word, Excel or your system. Saving to a job folder or shipment register automatically is a separate integration.
Guardrails
- Staff review every document before it is issued, shared with an agent or used for a declaration. AI drafts can misread handwriting, omit a line or invent a detail; instructions do not guarantee a complete or correct document.
- HS codes, values and origin are the responsibility of your business and your customs broker. The Skill suggests and flags; it does not classify goods or file anything with customs.
- Writing to a job folder, shipment register or carrier portal needs a separately agreed, configured and tested integration. A draft on screen is not a filed document.
- Start with sample or past documents with personal details removed. Real customer documents belong in your approved ChatGPT workspace, configured with the access and retention your business decides. See ChatGPT governance.
A document drafter can be a single Skill for AED 97. Cargo companies that want quotes, tracking replies and documents together usually choose a fixed-price package from AED 3,500. See the pricing page.
Common questions
Can ChatGPT read a handwritten packing list from a photo?
Usually, if the photo is clear. It drafts the list and marks any line it could not read with confidence, so staff check those lines against the original.
Does AI decide the HS code for my shipment?
No. It can suggest a code marked to verify, or leave it blank when the material or use is unclear. Your clearing staff or customs broker decides the final code.
Will the documents use our own format?
Yes. The Skill is set up with your current packing list and commercial invoice templates, and it is refreshed when the owner of a template approves a new version.
Can it save the documents into our job file automatically?
Not by itself. Staff copy the approved draft into Word, Excel or your system. Automatic saving needs a separately agreed, configured and tested integration.
