How can law firms send clients plain-language matter updates with AI?
Set up a Skill with your update templates, style guide and a short list of words to avoid. After a hearing, a letter or a deadline, the associate pastes the file note, and ChatGPT drafts an update in plain language: what happened, what it means for the client, what happens next and whether the client needs to do anything. It can draft the same update in Arabic or the client’s preferred language. The responsible lawyer checks every fact, date and statement before it is sent. AI does not give advice, predict outcomes or decide what the client is told.
Why updates fall behind
Clients rarely complain about the law. They complain about not hearing from their lawyer. Writing a clear update after every step takes twenty minutes nobody records, so updates wait until the client calls. The file note already holds the facts; what is missing is the time to turn lawyer’s shorthand into something a client can read on their phone. An update Skill does that first draft, in the same structure every time, so the lawyer only has to check and approve it.

| Moment in the matter | What the draft covers | Who approves |
|---|---|---|
| Letter sent or received | Who wrote, what they said in one line, the response period stated in the file note | Associate on the matter |
| Hearing or meeting held | What happened, the next date recorded by the lawyer, anything the client must provide | Responsible lawyer |
| Offer or proposal received | The terms as written, a reminder that the lawyer will discuss options with the client | Partner; the advice itself is given by the lawyer, not the draft |
| Waiting period | Why nothing is happening yet and when the client will next hear from you | Associate on the matter |
| Documents needed | A numbered list of what to send and by when, from the lawyer’s note | Associate on the matter |
A worked example
What the associate pastes (synthetic file note)
Matter: sample supply dispute (client: trading company) Today: hearing held. Court appointed an expert to review the delivery records. Expert fee deposit to be paid by our client. Next hearing date per court notice: 24 Nov. Need from client: delivery notes, warehouse receipts, emails with the supplier about the shortfall. Partner: no view on outcome to be given in the update.Draft from AI for lawyer review
Subject: Update on your supply dispute Dear [client contact], What happened today The hearing took place. The court appointed an independent expert to review the delivery records. What this means The expert will look at what was delivered and when. Their report will be considered by the court. What we need from you 1. Delivery notes 2. Warehouse receipts 3. Emails with the supplier about the missing goods The expert fee deposit is to be paid by you. We will send the amount and payment details separately. What happens next The next hearing is on 24 November. We will update you after we hear from the expert. For the lawyer to check: next hearing date against the court notice; deposit wording; whether a deadline for the documents should be added.
Synthetic matter, dates and wording for illustration only. Nothing on this page is legal advice.
How it fits your firm
- Your house style. The Skill uses your approved update templates and style guide, each with its version and date. When a partner changes the template, the new version is approved and the Skill is refreshed from it; the old one is withdrawn.
- Arabic and other languages. The same update can be drafted in Arabic or the client’s preferred language, with the English version beside it for the lawyer to compare. Official or court documents still go to certified legal translators. See Arabic–English intake and drafting.
- Manual input is the default. The associate pastes the file note. Reading your practice management system or sending updates by email or WhatsApp automatically would need a separately agreed, configured and tested integration.
Guardrails
- Every update is a draft. AI can leave out a step, misread a date or invent a detail that is not in the note, so the responsible lawyer checks it against the file and court notices before it is sent.
- Updates report facts. They do not predict outcomes, recommend a course of action or give legal advice; advice comes from the lawyer, in the lawyer’s words.
- Instructions in the Skill reduce the risk of over-promising but do not guarantee it. Words such as “will win” or “guaranteed” are on the avoid list, and the lawyer still reads every line.
- Start with synthetic or anonymised file notes. Use real client material only after the firm has approved the product, configuration, access and retention, and is satisfied the use fits its confidentiality and professional duties. An approved workspace alone does not make every use safe. See confidential client information.
A client update writer can be a single Skill for AED 97. Firms that want updates, intake summaries and first drafts working together usually choose a fixed-price package from AED 3,500. See the pricing page.
Common questions
Can AI write client updates for a law firm?
Yes, as drafts. Set up with your templates and style guide, ChatGPT turns a lawyer's file note into a plain-language update, and the responsible lawyer checks and approves it before it is sent.
Will the update give the client legal advice?
No. The draft reports what happened, what happens next and what the client needs to do. Advice and views on the outcome come from the lawyer.
Can updates be sent in Arabic?
Yes. The update can be drafted in Arabic or the client's preferred language with the English version beside it. Court and official documents still go to certified legal translators.
Can updates go out automatically after each hearing?
Not by default. A lawyer sends each update. Automatic sending or reading your practice management system needs a separately configured and tested integration.
