Setting it up
- List your stages. Use the stage names your tracker already has, so the update always matches the record.
- Approve one message per stage. The operations manager approves each message with a version number. When a process changes, the message is updated, approved again and the old version withdrawn.
- Link instructions to your checklists. Anything the client must bring or send comes from the same verified requirements used for document checklists, with its last-verified date.
- Choose the language. Updates can be drafted in the client’s language with the English version beside it for checking.
Guardrails
- Every update is a draft. AI can skip a client, mix up two files or invent a step, so the consultant checks each one against the tracker before sending.
- ChatGPT does not watch your tracker or authority portals. If no one pastes the current stages, no update is drafted. Reading your CRM directly or sending through WhatsApp needs a separately agreed, configured and tested integration.
- Updates never promise approval, processing times or fees. Requirements and fees are checked against current authority sources by your team.
