How can PRO firms track renewals and send reminders with AI?
Keep the renewal dates in the tracker or CRM your firm already trusts, and use ChatGPT to turn that list into reminders. Each week a PRO supplies the tracker export for the coming period. ChatGPT, set up with your reminder templates and document checklists, sorts what is due, drafts a reminder per client in their language and lists anything it cannot match. The PRO checks each date and requirement against the record and current authority rules, then sends. AI does not watch dates on its own, file renewals or promise processing times.
Who does what
Renewal work fails in two places: a date nobody looked at, and a reminder that arrives without the documents the client needs to send. AI helps with the second and makes the first easier to review. It does not replace the system that holds the dates.

| Part of the job | Owned by | What AI adds |
|---|---|---|
| Renewal dates for licences, visas, Emirates IDs, leases and establishment cards | Your tracker or CRM, kept current by the PRO team | Nothing on its own. It reads the export a PRO supplies. |
| What is due in the next 30, 60 or 90 days | PRO team lead | A sorted list with the client, item, date and the window it falls in |
| Reminder to the client | The PRO who sends it | A draft per client from your template, with the document list from your checklist, in the client’s language |
| Rows that look wrong | PRO team lead | A flag for missing dates, duplicate clients or dates already passed |
| The renewal application | Your team, through the official channels | Nothing. AI does not submit or pay. |
A worked example
What the PRO supplies (sample export, 3 rows)
Client A | trade licence | expires 30 Nov 2026 | language: Russian Client B | residence visa | expires 18 Dec 2026 | holder: 1 employee | language: English Client C | Emirates ID | expiry date missing | language: Arabic Checklist version: renewals master, last verified 1 Oct 2026What ChatGPT returns for review
Due within 60 days: Client A: trade licence, 49 days. Draft reminder in Russian with English version beside it. Asks for the current office lease copy per checklist item 3. Due within 90 days: Client B: residence visa, 67 days. Draft reminder in English listing the documents in checklist item 5. Needs a person: Client C: no expiry date in the export. No reminder drafted. PRO TO CHECK THE RECORD.
Sample clients, dates and checklist for illustration only. Day counts are calculated from the export date and should be rechecked by the PRO.
Setting it up
- Agree the reminder windows. For example, a first reminder 60 days out and a follow-up at 30 days. Your firm decides the windows; AI applies them to the list.
- Link each item to a checklist. The same verified requirements master used for new-company document checklists tells the reminder what to ask for, with its last-verified date.
- Write one template per item. Licence, visa, Emirates ID and lease reminders each have their own wording, then ChatGPT drafts them in the client’s language with the English version beside it.
- Name the owner. One person runs the weekly export, reviews the flags and confirms nothing in the tracker was skipped.
Guardrails
- A PRO checks every date, document list and reminder before it is sent. AI outputs are drafts that can omit a client, miscount days or invent a requirement; instructions do not guarantee a complete list.
- ChatGPT is not an alert system. If no one supplies the export, no reminder is drafted. Your tracker or CRM remains the record of every date.
- A pasted export is not an integration. Reading your CRM directly or sending through WhatsApp needs a separately agreed, configured and tested connection.
- Requirements and fees are checked against current authority sources before sending. Reminders never promise approval or processing times.
- Start with sample or anonymised rows. Passport and Emirates ID details only enter a workflow once your firm has agreed the product, configuration, access and retention, and its own duties to clients. See ChatGPT governance.
Firms usually start with the renewal reminder writer as one Skill for AED 97, then add enquiry replies and checklists in a fixed-price package from AED 3,500. See the pricing page.
Common questions
Can AI track licence and visa renewal dates for a PRO firm?
Not on its own. Your tracker or CRM holds the dates. ChatGPT reads an export a PRO supplies, sorts what is due and drafts the reminders, and a PRO checks every date before sending.
Can the reminders go out automatically on WhatsApp?
Not by default. A PRO sends each reminder. Sending through WhatsApp or reading your CRM directly needs a separately configured and tested integration with a named owner.
What happens if a renewal date is missing in our records?
The draft flags the row for a person to check and does not write a reminder for it. The PRO corrects the record in your tracker.
Can AI file the renewal application?
No. Your team prepares and submits renewals through the official channels. AI drafts the reminder and the document request only.
