AI for training centres

How can training institutes summarise learner feedback with AI?

Export anonymised feedback for one course or batch, then use ChatGPT to group comments into themes, count how often each appears and quote short traceable examples. The draft separates what learners praised, what they raised as problems and actions a manager might consider. A training manager checks the themes against the source comments before the summary is shared with trainers or the director. AI does not judge trainer performance, change grades or decide what the institute does next.

What a useful feedback summary contains

Reading two hundred end-of-course comments takes an afternoon, so it often waits until the next quality review. A summary Skill gives the manager a first pass in minutes. It is only useful if every theme can be traced back to real comments and the counts come from the supplied file, not from the model’s impression.

A worked example

Draft summary (synthetic data)

Course: Project Management Foundations, batch P-09
Source: feedback export, 38 forms, names and emails removed

Praised
  Practical case studies: 17 comments (refs 3, 8, 11 ...)
  Trainer explained clearly: 12 comments (refs 1, 5, 19 ...)

Concerns
Room too cold in afternoon sessions: 9 comments (refs 4, 14, 22 ...)
  Wanted the slides before class: 7 comments (refs 2, 9, 30 ...)

Unclear or mixed: 4 comments listed for the manager to read

Suggested actions (for manager decision)
Check room temperature settings with facilities
Consider sharing slides 24 hours before each session

Review note: 38 forms supplied. No ratings column, so no averages shown.

Synthetic feedback, batch and counts for illustration only.

Make it repeatable

  • Same form, same export. Keep the feedback questions stable across batches so summaries can be compared over time.
  • Remove identities first. Strip names, emails and phone numbers from the export before it reaches ChatGPT, unless your approved setup allows otherwise.
  • Keep the source. File the export with the summary and the reviewer’s name, so anyone can check a theme later.
  • Roll up by term. Approved batch summaries can feed a term report for the director, built from the reviewed summaries rather than raw comments.

Guardrails

  • A training manager reviews every summary before it is shared. AI may miss a comment, merge different points into one theme, miscount or invent a theme; instructions do not guarantee a complete summary.
  • AI does not assess trainers, grade learners or make staffing decisions. Feedback about a named person is handled by a manager, not by the summary.
  • Start with anonymised or synthetic feedback. Using identifiable learner comments requires your approved product, configuration, access, retention and applicable duties. See ChatGPT governance.
  • A pilot uses an export staff supply. Pulling feedback directly from a survey tool or LMS is a separate integration that needs agreed access and testing.

Feedback summaries usually sit in a wider operations setup with enquiry replies and weekly reporting, from AED 7,500. A single feedback Skill is AED 97. See the pricing page.

Common questions

Can ChatGPT analyse course feedback forms?

It can draft a themed summary from an exported set of anonymised comments, with counts and references back to the source. A training manager checks the themes before the summary is shared.

Should we remove learner names before using AI?

Yes, for a pilot. Start with anonymised or synthetic feedback. Identifiable comments need your approved product, configuration, access and retention settings first.

Can AI rate our trainers from feedback?

No. The summary groups what learners said. Judging a trainer's performance stays with the institute's managers.

Can it connect to our survey tool or LMS?

A pilot works from an export staff provide. A direct connection to a survey tool or LMS is a separately agreed, configured and tested integration.
